1. Technology Stack Overview

Homebot is a cloud-based marketing and educational platform. As a cloud solution, Homebot runs on Amazon Web Services (AWS) infrastructure: Elastic Compute Cloud (EC2), Simple Storage Service (S3), and Virtual Private Cloud (VPC). In harnessing the AWS infrastructure, Homebot offers high-availability, redundant high-capacity storage and added reliability over self-hosted CRMs.

Key Points:

  • The Homebot server is cloud-based and adheres to the policies of the Amazon Web Services standard agreement. For more information regarding those policies please see aws.amazon.com/security.
  • All traffic to the Homebot server uses 256-bit secure SSL.
  • All content stored on S3 has access control policies and permissions associated with it; therefore, making it accessible only to your user account. As with the database, all associated files on S3 are stored redundantly across datacenter locations to mitigate data loss and increase availability and uptime.
  • Homebot assigns unique ids to lenders and homeowners, such as 56b12cfdd4b48aeb17c2c3dd. These ids make it possible to share links for support tickets and bugs.
  • Homebot is a node.js application.
  • All server requests are handled by an nginx web server.
  • All persistent data is stored in a MongoDB database.

Lastly, there are a variety of personas on Homebot.

2. Brokerage and Office Setup

Homebot has an admin interface that allows administrators to add offices and lenders to the system.

Once a Homebot admin has added your brokerage to the system, you are able to add company offices and agents on the system. Let's jump into setting up the offices:

  1. Add an office and the company logo. Click "Add Office" and fill out the address, photo URL fields.
  2. Add lenders to each office. Click on the office and add each lender with the "Add Lender" button. Fill out the lender's name and let them fill out their profile more fully.

3. Bulk Imports

Under all lender accounts is the ability to bulk import. At times, bulk imports are easier done on the admin level because you can grab all the fields for lenders.

Steps for bulk importing:

I. CRM Export

  1. Determine best way to export out of the loan origination software
  2. Format the CSV with these headers

II. Homebot Import

  1. Go to your lending dashboard and click on the "Add New Client" tab.
  2. Choose the bulk import option
  3. Load file. Wait for file to load.
  4. Preview loaded data. Review errors.

4. Technical Support

Tips and Tricks

  • Users with the same email address will trigger changes in profile account
  • If something looks funky, use the "Data" button frequently to look at the raw data.
  • Sometimes data can be pulled in incorrectly (if APIs do not have the property information or internet went out). If that is the case, press "Update" to refresh.
  • Realtors profiles are alphabatized by frequency. Profile picture come from the MLS database. If their picture does not show up tell them to get their photo in the MLS database.
  • Calculations on the home values and mortgage estimates come from two sources. The first possibility is from the lender who imports data from their loan origination software. The second option calculates the home value through automated valuation models (AVM) from industry-standard commercial datasources, such as RealyTrac and/or CoreLogic. Data is pinged daily. And when properties are added.
  • Re-calculations on data (home value, amount of interest, amount of principal) are conducted monthly and sent as digests to the homeowners.
